ACH Distribution Codes
Access this screen from the ACH Distribution Listing screen.
Overview
Distribution Codes are entered for normal transactions such as deposits, withdrawals, and payments. These are CBX codes which correspond to ACH numeric codes; the CBX codes were designed to make them easy to read and remember.
For each distribution, enter one of the following codes to indicate the kind of transaction being performed:
GC |
Credit to a General Ledger account
GD |
Debit to a General Ledger account
GS |
Stop pay for General Ledger ACH |
ID |
Current year deposit to IRA |
IP |
Prior year deposit to IRA |
LC |
Credit (payment) to a loan account This cannot be assigned to sequence 99 unless the entire ACH transmission should be deposited into this loan account. |
LD |
Debit (withdrawal) to a loan account
SD |
Deposit to share type accounts Deposits to an HSA savings/checking or certificate will be treated as a current-year deposit. Be careful: if you happen to use an HSA account as the base account (seq 99) and you also have distributions from that account to another of the member’s HSA accounts (such as from an HSA savings to an HSA checking account), the HSA balance file would show duplicate deposit/withdrawal transactions instead of non-reportable transfers, and would need to be manually adjusted to keep the HSA balance file totals correct. (For transfers between HSA accounts, it is better to use AFTs so that you can specify the proper posting codes.) |
SW |
Withdrawal from share type accounts |
Return Distribution Codes
These codes are used to prevent a distribution from hitting a member's account. For example, if the member notifies you of an unauthorized payment being taken from her account, return code “10” would be entered on the distribution record. The next time this item was received it would be placed in the ACH suspense G/L and printed on the “ACH Pre-authorized Return Item Register” report (PXACH3), as well as on the standard exception report (PXACH). This item could then be returned using your normal return procedures.
Enter one of the following return codes into the Distribution tran type field to indicate why the transaction should be stopped:
05 |
Unauthorized Corporate Debit to Consumer Acct |
07 |
Authorization Revoked By Customer |
08 |
Payment Stopped |
10 |
Customer Advises Not Authorized |
14 |
Rep. Payee Deceased |
15 |
Account Holder or Beneficiary Deceased |
16 |
Account Frozen |
20 |
Non-Transaction Account |
23 |
Credit Entry Refused by Receiver |
These codes are taken from the 2004 ACH Rules guide (published by NACHA). However, this is not a complete list of return codes allowed by ACH. These codes are the only ones that can be entered into CBX to instruct the system to automatically “kick out” an item before it hits the member account.
